Student Hub Known Issues
As we roll out Student Hub, we are discovering aspects of the system which are glitching or not working as expected. To help manage the incoming volume of these reports and minimize cluttering your inbox with update emails, OAS is tracking known issues using this site. Expand the items below to view issue descriptions, workarounds, and status updates for glitches. If you are experiencing a problem with Student Hub which is not reported here, please email shconnect@unm.edu so our team can look into it. We appreciate your patience and flexibility as we work with IT to implement this system. We plan to update this site regularly and add some self-service troubleshooting guides.

Known Issues
Appointment availabilty that is built on times other than the hour (i.e. 1:00) or half-hour (i.e. 1:30) does not show up as available for students to schedule. If an advisor is trying to build individual appointment slots and they are starting on the 15-minute mark (1:15), they are not visible. This also means advisors who are building larger appointment availability blocks are having part of that availability un-useable. For example, in an availability block from 8:15-10:45, the available appointment spots would not start until 8:30 and the last available spot would be at 10:00.
Workaround
For now, we recommend that advisors build availability starting on the hour or half-hour.

Resolved Comment - Outlook integration seems to be working as expected and bilaterally. If you continue to experience issues, please reach out to shconnect@unm.edu.
Issue
While some people are not having any issues with Outlook calendar integration, it is not working universally for everyone. Users are reporting that events from their Outlook calendar are not importing to their Student Hub calendar, and the pattern of what events are being excluded varies from user to user. Events from Student Hub are also inconsistently migrating to Outlook.
For now, we recommend that users block the availability on their calendar with an event (NB: this is a change from the original recommendation to use absences, which do not show up on the calendar and makes users feel uncertain that the time is truly blocked). Use the following steps to create an event in your Student Hub calendar:
1. Click the New Event button on the top-right corner of the calendar page.
2. Fill in the Subject field with a descriptive reason for the block to remind yourself what the event is in case you later need to adjust it.
3. Select a Start Date and Time
4. Select an End Date and Time (the End Date should be the same as the Start Date)
5. You do not need to fill in any other fields. Go ahead and click Save Event.

Resolved Comment - This issue is resolved as of 7/24. If you hear of any new issues, please email (or have the student email) shconnect@unm.edu. Troubleshooting: Advisors need to assure that their prospective student topic is selected when they configure availability in order for the student to find them.
Issue
Prospective students are unable to schedule advisement appointments. They are able to select and advisor and appointment topic, but somewhere in the scheduling flow, they receive an error that nothing is available or or that they do not have internet connection. This is inconsistent across majors/programs and some prospective students have been able to schedule.
Workaround
For now, if the student cannot schedule in Student Hub, work with them to arrange a time and modality for a meeting. Block your Outlook and Student Hub calendar to reserve the space (see Outlook issue above for information on how to create an event in your Student Hub calendar). When meeting with the student, you can put notes on their account using the "Create Interaction and Notes" button on the Action Launcher on their profile page. To access prospective student profiles, search them by name and verify their email address and/or date of birth on the account.

Issue
Cancelling appointments seems unavailable to various constituents in an inconsistent way. This includes: students are unable to cancel their own appointment, advisors unable to cancel appointments on their schedule, and managers/supervisors unable to cancel appointments for their staff. Update 7/23: We are also hearing reports that users are unable to reschedule/reassign appointments, which we are looking into as well. Update 7/24: Students are able to cancel their own appointments. Employees cancelling/rescheduling on behalf of students is still being worked on. Update 8/6: Cancelling is working, but reassigning is not. This is still being worked on.
Workaround
Many people have figured out a workaround one way or another. For advisors who are unable to cancel their appointments from the appointment record or lobby management, they can use Appointments menu in the drop-down navigator. Change the list view to "My Upcoming Appointments" instead of "Recently Viewed" (recommend to pin this view). Use the arrow on the far right column for the appropriate appointment to access the option to cancel the appointment.

Issue
LoboAchieve notes for some students are missing in Student Hub. For others, the note is available but instead of the name of the person who left the note, the system is showing it was written by "IT Apps CRM." Update 7/24: It has been determined that some files have not migrated. A file record is created but no file exists.
Workaround
For missing notes, we still have read-only access to LoboAchieve. For notes with a missing person, check the text of the note (many advisors put their name at the end) or LoboAchieve.

Resolved Comment - When an advisor uploads a file and leaves a comment, the comment is visible to the advisor on the file record. These comments do not show up in interaction history, so more robust comments should be left as an interaction.
Issue
When advisors upload a file on a student account and include additional notes, the note is not showing up for advisors to see when they click into the file area. It is showing up on the student side for students to see.
Workaround
For the time being, please reference the file in a note as a separate interaction note from the file itself.

Issue
When students look at their hold information uploaded into Student Hub, details are missing such as the office that placed the hold and the reason. Update 8/6: The student hold information in Student Hub is inaccurate. Holds are missing. Other holds which do not exist are showing up.
Workaround
Please provide students with the information they need to resolve holds and recommend viewing the information in LoboWeb for the time being.

Issue
In the manager home dashboard and "My Team's Appts Today" report, managers are reporting missing advisors and advisors who do not work in their office. NB: advisors will only show up if in this field if they have appointments scheduled for today.
Workaround
View your advisor's appointments in their calendar or review your Lobby Management.
Status

Resolved Comment: All offices who do self check-in for drop-ins are added. If offices would like to be added to the list, please assure you meet the criteria below and contact shconnect@unm.edu.
Issue
If your office is not showing up in the self-check drop-in link that was sent out by shconnect@unm.edu yesterday, please check back by the end of the day today (7/23) to see if it has been added. Reach out if you see it is still missing. Please note, the following criteria need to be met for offices to be added:
1. Self check-in needs to be selected in the advising office>related>drop-ins area.
2. Drop-ins need to be in the office's topics.
3. At least one advisor must have drop-in availability built.
Workaround
Check in with your front desk for the time being.
Status

Issue
We are being informed of inconsistencies with how student preferred names are or are not appearing in the system and have submitted it for review with IT.

Issue
Zoom links are not appearing for students in Student Hub for virtual appointments as expected if the advisor has set up their link as part of their host profile. The link seems to be working for some but not others. Update 7/31 - We have been informed that Zoom links might be included in appointment reminders/cancellations and that the appointment links may not be updating for rescheduled appointments. We are escalating this issue to IT. If you have a student who got the inappropriate link, please forward the email or a screenshot of the link from their Home Page to shconnect@unm.edu with a description so we can pinpoint the issue. Update 8/6 - we have been informed that the Zoom link remains active on the student's home page for the duration of the appointment instead of being deactivated after 15 minutes.
Workaround
Unless you know this is working consistently for you, you may want to reach out to your virtual appointments at the start of the day, inform them of how they can access the link in Student Hub (this way they can be a test case for you), and to inform you if they are unable to acces it at the time of their appointment.

Issue
Student Hub is autogenerating emails to students which are "from" the individual who completed an action for them in Student Hub (scheduled a meeting, checked in a student, added an interaction summary, etc) instead of being a general address for the system. Additionally, some of the emails are incorrect given the action taken within Student Hub. Update 8/6 - Students are getting reminder emails for cancelled appointments.

Student Hub is showing students under the MD & PHARMD 2025 academic term for students who are not MD/PharmD students.

Update Comment - this issue does not appear universal. For the most part, interactions are not requring next steps. If you encounter this issue, please contact shconnect@unm.edu and provide as much detail as possible about the interaction and the steps you took to help pinpoint why this is occasionally happening.
Issue
Although the next steps field is supposed to be optional, the system is requiring them for ad-hoc interactions (i.e. not scheduled appointments). If nothing is put in and you hit next, it deletes everything.
Workaround
We are requesting that you use "Have a nice day" as the next step which will allow you to save the interaction but will also help us track the issue.

Readmit students are receiving notifications about "new comments" being added to Student Hub when their LoboAchieve comments are imported to the system.

Frequently Asked Questions
How long does it take a new/readmit student to be added to Student Hub after they activate a NetID?
Typically overnight, but sometimes up to 48 hours.
Why do I have to scroll through so many topics to schedule an appointment with a student if my office isn't using all of them?
In order to have universal scheduling (for you to be able to schedule for people in other offices) we have to have all the topics viewable. We know this is a pain point and we are considering creative solutions. Students do not have this same issue.
How does a student put their preferred name in the system?
Student Hub is designed to pull student preferred name information from Banner. Students should submit their preferred/affirmed name information through LoboWeb (just as they did for LoboAchieve and other UNM systems). Students who enter a preferred name in their NSO sign-up will still need to formally submit through LoboWeb for the name to carry through their time at UNM.
How do I access LoboAchieve to look up old information if I cannot find it in Student Hub?
LoboAchieve.unm.edu now redirects to Student Hub to assure students are not using the old system to connect with advisors. Advisement still has read-only access to LoboAchieve through the development site which was emailed to advisors.
Tips, Tricks, and Troubleshooting Resources
Availability Building
- Be sure to leave a descriptive label when you build availability. It not only helps you keep track of which is which, it also helps our team troubleshoot if you are having issues.
- For drop-in hours, the label needs to be very specific for the system to recognize it to show to students in the drop-in search. In addition to whatever you want to add, it must include "drop-in" or "drop in" and "virtual" or "in person" or "in-person." "Hybrid" is not recognized, so hybrid drop-ins should be labeled as in-person and virtual.
- For drop-ins, be sure to only pick the drop-in topics.
- Only select topics that have been approved by your manager for your office.
General Tips
- Did you hit refresh?
- Make sure you update your list view from Recently Viewed to the more specific view you need. We recommend you pin the list so Recently Viewed is not the pinned list.
- To close all tabs in Salesforce, use SHIFT+W.
